Run Committee Review and Meetings

Decide on a proposal assigned to you

  1. Open the proposal from Proposals, My Work, or a notification link,
    then click Open Review (or open it directly from the list).
  2. If you are an assignee of the current step, a decision bar appears:
    • Approve: advances the proposal to the next step, or marks it
      approved if this is the last step. Not available on committee steps;
      vote instead (see below).
    • Return…: opens a panel. Choose where to return the proposal:
      any prior step, or “Back to proposer (draft)” to send it back to
      editing. A reason is required.
    • Hold: pauses the proposal at its current step without advancing
      or returning it.
    • Resume Review: available only while the proposal is on hold;
      puts it back into review at the same step.

Vote on a committee step

If the current step is a committee vote and you are a member, a Committee
vote
panel appears on the Proposal Review page instead of an Approve
button:

  1. Optionally write a note explaining your vote.
  2. Click Approve, Reject, or Abstain.

Your vote replaces any earlier vote you cast on the same step. The tally
panel shows current approve, reject, and abstain counts, and whether quorum
and the approval threshold have been met.

  • If quorum and the threshold are both met, the step advances
    automatically the moment a vote satisfies them. You do not need a
    separate approval action.
  • If the tally shows “Threshold unreachable” (not enough remaining
    members could still reach the threshold), someone with decision rights on
    the step needs to Return the proposal with a reason instead of waiting
    for more votes.
  • Click Show full vote history to see every vote cast on the step,
    including votes that were later changed.

Create a meeting

  1. Go to Meetings and click New Meeting.
  2. Fill in Meeting title and, optionally, Date and Notes
    (agenda notes, location, attendees).
  3. Click Save Meeting.

To edit a meeting later, open its row actions and choose Edit, or click
the row.

Work a meeting’s agenda

  1. From the Meetings list, click a meeting row, or use its row actions and
    choose Agenda.
  2. The agenda lists every proposal currently sitting at a committee step and
    in review, not proposals on hold. Each item shows its type, target
    catalog year, a completeness badge, and the current vote tally.
  3. Click Open review on an item to open its Proposal Review page.
    Because you opened it from this meeting’s agenda, any vote you cast there
    is recorded under this meeting.

Delete a meeting

Open the meeting’s row actions and choose Delete. If the meeting has any
recorded votes, deletion is blocked; the minutes trail has to survive.

If a proposal’s approval finished

Once a proposal clears its last step, it becomes approved and Kenii attempts
to write the change into the catalog automatically (materialization). If
that write fails, for example because the target catalog year has no copy of
the course being revised, the Proposal Review page shows the error with a
Retry button. Fix the underlying issue (such as creating the course in
that catalog year), then click Retry.
