Export a Proposal’s Evidence Record

An evidence package is a single governance-record document for one proposal,
useful for an accreditor request, a board packet, or your own file.

Export the package

1. Open the proposal’s Proposal Review page.
2. Click Export evidence package at the top right.

A PDF downloads. It works at any proposal state, including draft, though a
draft’s approval history and votes will be empty.

What the package contains

1. Identification: proposal title, reference number, change type,
   current record it targets (if any), target catalog year, current state,
   generation date, your institution’s name if configured, and the stated
   rationale.
2. Description of the change: the redline. Every field that changed,
   with its status (added, removed, or changed) and its from and to values.
   If nothing changed, this section says so.
3. Catalog impact: which credentials reference the target course, and
   whether that reference is in a requirement listing or a plan of study.
4. Approval history: the frozen route the proposal was routed through,
   and the full decision log (step, action, actor, timestamp, reason).
5. Committee votes: for each committee step in the route, the tally,
   the latest vote per member, and the full vote history.
6. Substantive-change record: the advisory signals computed at
   submission, each with its value, threshold, and whether it crossed, and
   the institution’s determination if one has been recorded (yes, no, or
   unsure, with who recorded it and their rationale). If no determination
   has been recorded yet, the package says so.

If you need the underlying data instead of a PDF

The evidence document is also available as HTML by requesting the same
endpoint with format=html instead of downloading through the button. This
is a developer-facing option, not exposed in the Proposal Review screen
itself.
