Copy an entire catalog year into a new editable draft instead of rebuilding it by hand
Clone a catalog year
Roll this year’s catalog forward into a new draft year instead of rebuilding it
from scratch. Cloning duplicates every program, credential, course, academic term,
and handbook section/policy from the source year into a brand-new set of records
tied to the new year, and re-links each credential to its cloned parent program
automatically. The current active year is untouched, and the new copy starts as a
draft: fully editable and off the public site until you’re ready.
- Go to Catalog Years in the sidebar.
- Find the year you want to copy from, open its row actions, and select
Clone to Draft Year. - In the New Year Name field, enter the new year (for example
2026-2027). - Click Create Draft.
- Wait for the confirmation toast, which reports how many programs, credentials,
and courses were copied.
To start editing the clone, open its row actions and select Edit Year (only
available on years that aren’t the active one). This sets your working year and
takes you to the Programs list, where every screen you edit now applies to the new
draft.
The clone carries your data forward and adjusts it for the new year automatically:
- Academic term dates shift forward. Cloned terms (start/end, registration
window, drop deadline) move ahead by the difference between the two years, and each
term’s title advances with them, so “Fall 2025” becomes “Fall 2026”. Review the
shifted dates against your real calendar and fine-tune any that differ, but you
start from a sensible draft rather than last year’s dates. - Course links inside requirements stay connected. A credential’s requirements
and plan of study are re-pointed at the new year’s cloned courses, not the source
year’s, so the degree audit works in the new year without rebuilding it by hand.
Addenda are year-specific and are never cloned: the new draft year starts with
none.

publish and lock a catalog year to make it
