Give staff access with the Catalog Editor role
Give a staff member their own sign-in to Kenii without handing them a WordPress
administrator account. Kenii ships a dedicated Catalog Editor role for exactly
this: it can manage every part of the catalog and nothing outside it, and the person
using it never sees the regular WordPress dashboard.
Creating any WordPress user account requires an administrator, so you’ll need your
own WordPress administrator login to complete this.
- Sign in to WordPress as an administrator and go to Users → Add New.
- Fill in the new user’s username, email, and (optionally) a password. Leave the
“Send User Notification” option on if you want WordPress to email them their
login details. - Set Role to Catalog Editor.
- Click Add New User.
- Share the login URL and credentials with the staff member.
When they sign in, they land directly in the Kenii admin (“Academic Catalog”): the
regular WordPress dashboard, admin bar, and every other WordPress menu are hidden
for this role. They can create and edit programs, credentials, courses, catalog
years, and every other catalog record, and they can upload files (for example,
attaching a catalog PDF to a year). They cannot install plugins, edit other content
on the site, manage other users, or reach Settings → API Access; that stays
restricted to full WordPress administrators. See
set up API access for the one workflow that genuinely needs
an administrator.
If a staff member’s job changes and they need a different level of access, edit
their user from Users → All Users, open their profile, and change their Role.
Removing access entirely is the same: change the Role or delete the user.
For the full list of what the role can and cannot do, see the
roles and capabilities reference.
